Business System Engineering

Stop losing leads to your spreadsheet.

Leads fall through gaps. Follow-ups don't happen. No one knows where a deal stands. We build the system that captures every lead, automates the follow-up, and shows you the pipeline in real time.

This is for you if

Your business runs on spreadsheets and memory. It shouldn't.

Leads come in but half of them fall through because nobody followed up.

Your team uses 4 different tools that don't talk to each other.

You promoted your best salesperson to manager and now nobody knows where any deal stands.

You've looked at HubSpot and Zoho and couldn't decide β€” so you did nothing.

What's broken

Why most businesses keep losing revenue to broken systems.

No single source of truth

Customer data is in email, in someone's head, in a spreadsheet, and partially in a CRM nobody updates. You can't manage what you can't see.

Manual follow-up

Following up depends on someone remembering to do it. They forget. The lead goes cold. The deal goes to a competitor.

Disconnected tools

Xero doesn't talk to your CRM. Your CRM doesn't talk to your website. You're re-entering data in 3 places for every customer.

No automation

Every inquiry gets handled the same way β€” manually β€” whether it's lead number 5 or lead number 500. Doesn't scale.

What we engineer

A business system built for how you actually work.

Custom CRM development

CRMs specific to your sales process. No off-the-shelf compromises β€” the system matches your workflow, not the other way around.

CRM implementation

Zoho, HubSpot, Pipedrive, or custom. Full configuration, migration, and training. Not just setup β€” designed to be used.

Workflow automation

Zapier, Make, n8n β€” automated lead capture, follow-up sequences, internal notifications, task creation.

API integrations

Connect your CRM to your website, accounting software (Xero, MYOB, QuickBooks), payment systems, and communication tools.

WhatsApp / LINE automation

WhatsApp Business API and LINE integration for automated lead response, follow-up sequences, and appointment booking.

SaaS / MVP development

Custom-built web applications. If your process is too specific for off-the-shelf software, we build the right tool.

What changes

From scattered tools to a single revenue system.

Common questions

Questions about CRM and business systems.

What CRM do you recommend?

The right CRM depends on your team size, sales process, and integration requirements. For businesses with under 20 staff and a simple pipeline, Zoho CRM or Pipedrive is usually right β€” straightforward to set up, low cost, easy to train. For B2B businesses with marketing automation needs, HubSpot is the right fit. For businesses with a genuinely non-standard process that off-the-shelf tools can't handle, we build a custom system. We always recommend starting with an off-the-shelf tool unless there's a specific reason it won't work β€” custom builds cost more and take longer. We'll tell you which path makes sense after the system mapping session.

How long does a CRM build take?

Off-the-shelf CRM implementation (Zoho, HubSpot, Pipedrive) typically takes 4–8 weeks from kickoff to go-live, including configuration, automation setup, data migration, integrations, and training. Custom CRM builds range from 8–16 weeks for a core system up to 6+ months for complex multi-tenant applications. The system mapping session in the first week gives you a realistic timeline for your specific scope. We don't quote timelines based on hypotheticals β€” we map your real requirements first, then commit to dates.

Can you integrate with Xero / MYOB / QuickBooks?

Yes β€” accounting integrations are standard. Xero and MYOB are the most common in the Australian market; QuickBooks for US and Canadian clients. Common integration patterns: deals closed in CRM β†’ invoice generated in accounting software; payment received in accounting β†’ CRM updated; customer record created in CRM β†’ contact synced to accounting. We use native integrations where available (HubSpot ↔ Xero, Zoho ↔ Xero) and build custom API integrations where the off-the-shelf options are limiting or don't exist. We also handle Stripe, PayPal, Square, and most major payment processors.

Is this GDPR compliant?

Yes. All systems we build for UK and EU clients are designed to GDPR standards from the ground up: explicit consent capture and records, data subject access request workflows, right-to-be-forgotten procedures, audit logs for all data access, encrypted data at rest and in transit, and configurable data retention policies. We can deploy custom CRM builds on UK or EU-region infrastructure (AWS, Azure, Google Cloud) when data residency matters. We don't bolt compliance on after the fact β€” it's part of the architecture.

Do you work with WhatsApp Business?

Yes β€” WhatsApp Business API integration is one of our most-requested services, particularly for UAE, Qatar, and Nepal markets where WhatsApp is the primary lead channel. We integrate WhatsApp with your CRM so: incoming WhatsApp messages auto-create CRM leads, conversation history is logged against the contact record, automated welcome and follow-up sequences trigger via WhatsApp, team members can respond from inside the CRM. We use Meta's official WhatsApp Business API (not unofficial workarounds) to ensure compliance and reliability. LINE integration is available for Japan-market clients.

What's the difference between building a custom CRM and implementing Zoho/HubSpot?

Implementing Zoho or HubSpot means configuring an existing platform to fit your business: setting up fields, pipelines, automations, integrations, and training. Faster (4–8 weeks), cheaper (lower upfront cost), and you benefit from ongoing platform updates. Building a custom CRM means writing software specifically for your process β€” every screen, every workflow, every report. Takes longer (3–6 months), costs more upfront, and you own the entire system. We recommend custom only when off-the-shelf platforms genuinely can't fit your workflow β€” usually for businesses with highly non-standard processes, regulated industries with specific compliance needs, or businesses where the CRM is the product.

What happens to our data during migration?

Data migration is treated as a separate phase with its own checklist. We start with an audit of the source data: completeness, accuracy, duplicate records, formatting inconsistencies. We then build a migration plan: which fields map to which, how to handle duplicates, what to do with legacy data we can't migrate. We run a test migration to a sandbox first, validate the data integrity, fix any issues, and then run the production migration during a planned cut-over window. You receive a migration report documenting what was migrated, what was cleaned, and anything that required manual intervention. Original source data is preserved as a backup.

How much does a custom CRM cost?

Custom CRM builds typically start around $15,000–$25,000 for a core sales pipeline system with standard automations, and scale from there based on complexity: multi-team workflows, external user portals, advanced reporting, API integrations, and custom logic add to the scope. Off-the-shelf CRM implementations (Zoho, HubSpot, Pipedrive) start lower β€” usually $5,000–$10,000 for configuration, automation, integrations, and training. The system mapping session gives you a precise quote for your specific requirements. We don't quote based on hypothetical scope.
