API & CRM INTEGRATIONS

Connect your website to the tools that run your business so leads arrive clean, complete, and in the right system

Your website generates leads. Your CRM is where those leads become revenue. When the two are not properly connected, data gets dropped, attribution is lost, and your team wastes hours doing manually what a properly built integration does automatically. Ignited Nepal builds these connections for Australian businesses in Sydney, Melbourne, and Brisbane.

This is for you if

If your website and your business tools are not talking to each other, this service is for you.

Your website has a contact form. Every submission sends an email to your inbox, and someone on your team reads it and manually copies the contact details into your CRM or a spreadsheet. Fields are missing. The follow-up is slow. Leads fall through the cracks when they land on a busy week. This is not a staffing problem. It is an architecture problem, and the fix is an integration, not a hire.

Orders are coming through your store. Your Xero account has no idea. Inventory is reconciled manually at the end of the week. Customer data in your store does not match records in your CRM, and your team spends hours every week moving numbers between systems. Connecting your store to Xero and your CRM removes that work entirely.

You are spending money on Google Ads and LinkedIn campaigns. People click, arrive on your site, fill in a trial or enquiry form, and become customers. But your CRM shows no source for most of those contacts because UTM parameters were not carried through the form submission. You cannot measure what is working, which means you cannot make confident decisions about where to allocate budget.

What's broken

These four problems appear in most Australian business websites. Each one costs money. Combined, they cost significantly more.

Form submissions arrive in an inbox, not a CRM

When a visitor fills in your contact form and the result is an email notification rather than a CRM record, the lead has no audit trail, no automated follow-up, and no assignment logic. It exists as an email in someone's inbox until it is acted on or forgotten.

UTM parameters dropped at form submission

A prospect clicks a Google Ads search ad, lands on your site, and fills in the contact form. The UTM parameters that recorded the source, medium, campaign, and keyword are lost at the point of submission. Your CRM shows a lead with no attribution. Your marketing team cannot calculate return on ad spend or justify channel investment.

Incomplete data in the CRM

Your form asks for a name and email. Your CRM has fields for company size, industry, service interest, and budget range. Because the form does not map to the CRM schema, those fields are always blank. Sales reps work from incomplete records and spend time in discovery calls gathering information the form could have captured and passed through automatically.

Duplicate contacts across disconnected systems

The same contact has enquired through your website, booked a discovery call via Calendly, and responded to an email campaign in HubSpot. They exist as three separate records with slightly different data in each. No one is confident which record is current. Merge and deduplication logic is not exciting to build, but it is the difference between a CRM your team trusts and one they work around.

What we engineer

Seven deliverables included in every integration engagement.

Integration Audit

We map what is currently connected across your website, CRM, and third-party platforms, what is not connected, and where data is being lost. Australian businesses commonly run HubSpot, Salesforce, or Zoho alongside Xero, and often have ServiceM8 or Tradify for field operations. We audit the full stack before building anything.

CRM Field Mapping

We map every form field on your website to the corresponding CRM field. For HubSpot, Salesforce, and Zoho, we create custom properties where they do not already exist. Every field your form collects is accounted for in the CRM.

API Connection or Webhook Setup

We connect your website to your CRM, Xero, email platform, booking system, or payment gateway using the appropriate method: native API, webhook, or middleware such as Zapier or Make. For Australian trade businesses, this includes ServiceM8 and Tradify connections for job creation from web enquiries.

Form-to-CRM Flow with UTM Attribution

We build the complete flow from form submission to CRM record creation, with hidden field injection to capture UTM parameters, referring URL, and page URL. Every lead that reaches your CRM carries its full acquisition context.

Automation Setup

We configure the automations that should run on new lead creation: rep assignment, follow-up email, pipeline stage update, Slack or Teams notification, and task creation. The routing logic is built to match your sales process, not a generic template.

Data Quality and Deduplication

We implement rules to prevent duplicate records from being created and set up merge logic for existing duplicates. We also configure validation rules to flag or block incomplete or incorrectly formatted data before it reaches the CRM.

Testing and Documentation

We test every connection end to end with real and simulated submissions before handover. We document the architecture, field mapping, automation logic, and maintenance steps, so your team understands the system and can manage it independently.

What changes

Four measurable changes when your Australian business website is properly integrated.

Before
After
Before When a visitor fills in your contact form and the result is an email notification rather than a CRM record, the lead has no audit trail, no automated follow-up, and no assignment logic. It exists as an email in someone's inbox until it is acted on or forgotten.
After Form submission creates a complete CRM record with contact details, source attribution, page URL, and every custom field your sales team needs. No manual entry. No missing data. No leads lost in inboxes.
Before A prospect clicks a Google Ads search ad, lands on your site, and fills in the contact form. The UTM parameters that recorded the source, medium, campaign, and keyword are lost at the point of submission. Your CRM shows a lead with no attribution. Your marketing team cannot calculate return on ad spend or justify channel investment.
After UTM parameters are captured on arrival, stored in a cookie, and passed through the form submission into HubSpot, Salesforce, or Zoho. Your marketing team can see which campaigns are generating revenue, not just clicks. That data makes budget allocation a fact-based decision.
Before Your form asks for a name and email. Your CRM has fields for company size, industry, service interest, and budget range. Because the form does not map to the CRM schema, those fields are always blank. Sales reps work from incomplete records and spend time in discovery calls gathering information the form could have captured and passed through automatically.
After When your website, CRM, Xero, and ServiceM8 are connected, transactions, job records, and contact data flow between systems automatically. Your team stops spending hours each week moving data by hand between platforms.
Before The same contact has enquired through your website, booked a discovery call via Calendly, and responded to an email campaign in HubSpot. They exist as three separate records with slightly different data in each. No one is confident which record is current. Merge and deduplication logic is not exciting to build, but it is the difference between a CRM your team trusts and one they work around.
After One contact. One record. Consistent data across every system. When your team trusts the CRM, they use it, and when they use it, reporting is accurate, forecasting improves, and decisions are made on evidence rather than gut feel.
How it works

Four steps from audit to a working integration.

  1. 01

    Integration Audit

    Week 1

We review your website, forms, CRM instance, and connected or disconnected third-party tools. We document every gap between the data you are collecting and the data your systems actually hold. You receive a written audit report.

  2. 02

    Integration Specification

    Week 1-2

We produce a specification document defining every connection to be built: field mapping, trigger conditions, automation logic, deduplication rules, and testing criteria. You approve this specification before any build work begins.

  3. 03

    Build and Connect

    Week 2-4

We build the integrations per specification. This covers CRM field mapping, API or webhook configuration, UTM hidden field injection, automation setup in your CRM, and Xero or ServiceM8 connections where applicable.

  4. 04

    Test, Document, and Hand Over

    Week 4-5

We test every integration end to end. We document the full architecture and hand over to your team with a walkthrough. You leave with a working system and the knowledge to maintain it.

Common questions

FAQ

We use HubSpot in Australia. Can you connect our existing website without rebuilding it?

Connecting an existing website to HubSpot does not require a rebuild. We use HubSpot's native form API, embed code, or webhook endpoints depending on your current form setup, and configure hidden fields for UTM attribution. Your site stays as it is.

Can you connect our website to Xero for automatic invoice or contact creation?

Xero provides an API that supports automatic contact creation, invoice generation, and payment reconciliation. We connect your website or CRM to Xero so that transactions or new client records flow across without manual export or import. This is a common setup for Australian professional services and trade businesses.

We use ServiceM8 for our trade business. Can new web enquiries create jobs in ServiceM8 automatically?

Yes, ServiceM8 has an API that allows new job records to be created from external triggers, including web form submissions. We build the connection so that when a prospect submits an enquiry form, a new job is created in ServiceM8 with the relevant contact and job details, ready for your team to schedule.

What if our CRM is Salesforce and our website is built on WordPress?

WordPress and Salesforce connect via Salesforce's REST API or through middleware such as Zapier or Make. We assess which connection method is appropriate based on your form setup, data volume, and the level of customisation required. Both approaches are production-tested.

How long does a typical integration project take for an Australian business?

A standard integration project covering one CRM, two to three forms, UTM injection, and basic automation takes three to five weeks from audit to handover. Projects involving Xero, ServiceM8, or Tradify alongside a CRM typically take four to six weeks. The integration specification produced at the start of the engagement confirms the timeline before any build work begins.

Your website is generating leads your CRM is not receiving

Every week your business runs without proper integrations, leads are being lost to manual process, attribution data is disappearing, and your sales team is working from incomplete records. An integration audit identifies exactly where the gaps are, what they are costing, and what it takes to close them.
