FAQ

Our CRM has some data in it already. Will an integration project overwrite or corrupt existing records?

Existing CRM records are protected by deduplication logic and field-level mapping rules that we specify before any connection goes live. New integrations write to new records or update specific fields on existing records without overwriting unrelated data. Before any live integration runs, we test it against a sample of existing records in a sandbox environment to confirm the behaviour is exactly as specified. Protecting your existing data is a prerequisite of the build, not an afterthought.

We use HubSpot for CRM but Mailchimp for email. Do you integrate across different platforms?

Cross-platform integrations are a standard part of this work. HubSpot to Mailchimp, Salesforce to Klaviyo, Pipedrive to ActiveCampaign, and similar combinations are built using the APIs of each platform and, where necessary, an integration layer such as Make. The key decision at the specification stage is which platform holds the master contact record and how changes in one platform propagate to the other. We document this data ownership decision as part of the integration specification.

How does UK GDPR affect the way you configure integrations with US-based platforms like Salesforce or HubSpot?

UK GDPR requires that personal data transferred from the UK to countries outside the UK or EEA is protected by an appropriate safeguard, typically the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. Both Salesforce and HubSpot offer data processing agreements that include these mechanisms, but they need to be actively signed and configured, and your privacy policy needs to accurately describe the transfer. We already have some Zapier automations connecting our tools. Do you replace those or build on them?

We review your existing Zap automations as part of the integration audit and assess whether they are fit for purpose. Some Zapier automations are entirely appropriate and we document and keep them. Others are fragile, handling edge cases poorly, missing data fields, or creating deduplication problems, and we replace them with more reliable API-native or webhook-based connections. The goal is a stack that works reliably, not a preference for one tool over another.

How long does a typical API and CRM integration project take?

A project covering one CRM, one website platform, and one or two additional tools typically takes four to six weeks from audit to live: one to two weeks for the audit and specification, two to three weeks for build and testing, and one week for handover and documentation. More complex stacks with multiple CRMs, ERP connections, or custom API requirements take longer and we will give you a specific timeline estimate after the audit is complete.
