Integration Audit
We review your current website, CRM, email platform, payment gateway, booking system, and any other connected or disconnected tool in your stack. We document what is integrated, what is broken, what is missing, and what is creating compliance risk. The audit produces a clear picture of your current state before any build work begins.
Integration Specification
We produce a written specification for each integration required: what data moves between which systems, in which direction, under what trigger conditions, and with what field mappings. The specification is written in enough detail that any competent developer can implement it. It also serves as documentation for your team and for any future changes to the stack.
CRM Field Mapping
We map every data point your website collects, including form fields, UTM parameters, page visit data, and behavioural signals, to the corresponding field in your CRM. Where CRM fields do not exist yet, we specify them. Where field types are incompatible, we resolve the mismatch. Clean field mapping is the difference between a CRM that reports accurately and one that holds a pile of disconnected records.
API and Webhook Setup
We build the connections between your website and your target systems using the API and webhook mechanisms appropriate to each platform. For HubSpot, Salesforce, and Pipedrive this typically involves their native APIs combined with webhook triggers for real-time data transfer. For platforms without native webhook support, we use an integration layer such as Make or Zapier where appropriate. Every connection is tested before handover.
Form-to-CRM Flow
We configure each website form to pass its data to the CRM in real time, with full field mapping, UTM parameter capture, and any conditional logic required for lead routing or tagging. Forms connected to HubSpot use HubSpot's native form embed or API submission. Forms connected to Salesforce or Pipedrive use their respective APIs with server-side submission where appropriate for data reliability.
Data Quality Checks
We configure validation rules, deduplication logic, and data cleansing processes to prevent dirty data from entering your CRM. Duplicate contacts, invalid email formats, test submissions, and spam entries are filtered or flagged before they pollute your reporting. Clean data in is the only way to get reliable reporting out.
Automation Setup
We build the lead routing rules, assignment logic, notification triggers, and lifecycle stage transitions required to make your CRM work automatically. New leads are routed to the correct owner based on territory, service type, or lead score. Notifications fire immediately. Lifecycle stages update when form events, page visits, or payment events trigger them.
Testing
We test every integration end to end: form submissions with real and synthetic data, UTM parameter pass-through under various traffic source conditions, CRM record creation with full field mapping, automation trigger firing, and edge case handling for duplicate or incomplete submissions. We document the test results and confirm sign-off before the integration goes live.
Documentation
We produce written documentation for every integration we build: what each connection does, how it was built, where to find the relevant settings in each platform, and what to check if something stops working. Documentation reduces your dependence on us for ongoing support and gives your internal team or future developers a reliable reference.
