Who This Is For

When a visitor fills in your contact form, the data arrives in an email. Someone reads it, copies the details into the CRM, and assigns the lead manually. Information gets missed in transcription. Attribution data is never recorded because it was never captured. Your CRM cannot tell you which campaigns are generating enquiries because nobody connected the form to the CRM properly. This is the most common integration gap in Japanese business websites and it is entirely fixable.

Your Salesforce or Kintone instance is your record of truth for sales activity, but it is disconnected from your website. Leads are entered manually by the sales team or by a receptionist. The attribution gap means marketing cannot demonstrate its contribution to pipeline. Every lead that enters the CRM without source data makes the business case for your marketing investment harder to make. The integration is the missing piece.

You are processing transactions through GMO Payment Gateway, Stripe Japan, or PayPay for Business but purchase events are not being passed to your CRM or email platform. Post-purchase sequences are either absent or triggered by manual exports. Customers who buy are not being segmented, nurtured, or prompted to return. The revenue opportunity in post-purchase automation is significant and the integration gap is what is preventing you from accessing it.

What's broken

What's Broken

Your Forms Do Not Pass Data to Your CRM in Real Time

Contact forms, enquiry forms, and resource download forms on your website generate submissions that go to an email address rather than directly to your CRM. By the time the data is manually transferred, the response window has narrowed, the attribution data has been discarded, and the quality of the record depends on whoever did the transcription. Real-time form-to-CRM connection is not a technical luxury; it is the baseline for any business that takes its lead management seriously.

Kintone Is Running as a Standalone System

Kintone is widely used in Japanese businesses as a CRM and operations platform, and it has API capabilities that most businesses using it have never activated. Your Kintone instance likely holds valuable operational data that never reaches your website analytics, and your website generates visitor data that never reaches Kintone. The API exists to connect them. A Kintone integration audit identifies every data flow that should be automated but currently requires manual handling.

Japanese Payment Gateway Events Are Not Connected to Your Customer Data

A transaction completed through GMO Payment Gateway or PayPay for Business is a significant event in a customer's relationship with your business, but that event does not update your CRM contact record, does not trigger a post-purchase email sequence, and does not feed your customer lifetime value reporting. The payment event lives in the payment platform and nowhere else. Connecting it to your customer data is what makes post-purchase automation possible.

Your APPI Compliance for Data Transfers Is Not Documented

Under Japan's Act on the Protection of Personal Information, transferring personal data to a third-party service or to a recipient outside Japan requires either the individual's consent or another specified legal basis, and the data handling must be disclosed in your privacy policy. If your website is collecting personal data through forms and passing it to a US-headquartered CRM without a documented transfer basis, you are carrying compliance risk. An integration audit identifies every data transfer point and assesses whether the handling is documented and defensible.

What we engineer

What We Do

Integration Audit

We review your website, CRM, email platform, payment gateways, and any operational tools such as Kintone that are part of your business workflow. We document what is connected, what is broken, what data is being lost between systems, and what APPI-related compliance considerations apply to your current data flows. The audit produces a complete picture of your integration landscape before any build work begins.

Integration Specification

We produce a written specification in both Japanese and English for each integration required, covering the data that moves between systems, the direction and trigger conditions for each transfer, and the field mappings required. The specification is detailed enough for any competent developer to implement and serves as the authoritative reference for your integration architecture going forward.

CRM Field Mapping

We map every data point your website and payment platforms generate to the corresponding fields in Salesforce Japan, HubSpot Japan, or Kintone. For Japanese CRM setups, this includes mapping fields for furigana name input, company name in kanji and kana, Japanese address structure, and any custom fields specific to your business process. Where field types or character set handling create mismatches, we resolve them in the specification before the build.

API and Webhook Setup

We build the connections between your website and your target systems using the appropriate API and webhook mechanisms for each platform. For Salesforce Japan and HubSpot Japan, this uses their native APIs. For Kintone, this uses Cybozu's REST API. For GMO Payment Gateway and Stripe Japan, webhook events trigger CRM updates and email platform flows. Every connection is tested before handover.

Form-to-CRM Flow

We configure each website form to submit data directly to your CRM in real time, with full field mapping, UTM parameter capture, and any conditional routing logic required. For Japanese-language forms, we ensure that field mapping handles full-width and half-width character inputs correctly, and that furigana or kana-required fields map to the correct CRM properties.

Data Quality Checks

We configure deduplication rules, validation logic, and data cleansing processes to prevent duplicate or malformed records from entering your CRM. For Japanese data, this includes handling the common case where a contact submits once in kanji and once in romaji, creating duplicate records that standard Latin-character deduplication does not catch. We build deduplication logic suited to Japanese name and company data.

Automation Setup

We build the lead routing rules, assignment logic, notification triggers, and lifecycle stage transitions your CRM requires. For Japanese business contexts, this includes routing by industry, region, or deal size, and configuring notification formats and escalation paths that align with your internal communication conventions. Automation is configured in both Japanese and English interface languages as required by your team.

Testing

We test every integration end to end with real and synthetic data, including Japanese character input in all relevant fields. We test UTM parameter pass-through, payment event CRM updates, automation trigger firing, deduplication logic, and edge cases for incomplete or duplicate submissions. Test results are documented and reviewed with you before any connection goes live.

Documentation

We produce written documentation for every integration, in both Japanese and English where required, covering what each connection does, how it was built, where the relevant settings live in each platform, and what to check if something stops working. Documentation is written for your internal team or IT department to manage and maintain without depending on us.

Before Contact forms, enquiry forms, and resource download forms on your website generate submissions that go to an email address rather than directly to your CRM. By the time the data is manually transferred, the response window has narrowed, the attribution data has been discarded, and the quality of the record depends on whoever did the transcription. Real-time form-to-CRM connection is not a technical luxury; it is the baseline for any business that takes its lead management seriously.
After After integration, every form submission creates a CRM record that includes source, campaign, keyword, landing page, and any other attribution data the visitor generated. Your marketing team can report on which activities are generating pipeline. The commercial contribution of every campaign becomes visible and measurable.
Before Kintone is widely used in Japanese businesses as a CRM and operations platform, and it has API capabilities that most businesses using it have never activated. Your Kintone instance likely holds valuable operational data that never reaches your website analytics, and your website generates visitor data that never reaches Kintone. The API exists to connect them. A Kintone integration audit identifies every data flow that should be automated but currently requires manual handling.
After When Kintone is connected to your website forms, payment platforms, and email tools, it becomes an accurate and up-to-date record of your customer relationships rather than a manually maintained database. Data that previously required human transfer between systems flows automatically. The time your team saves on data entry is redirected to higher-value work.

After Every completed transaction through GMO Payment Gateway, Stripe Japan, or PayPay for Business triggers the appropriate CRM update and email platform event. Post-purchase sequences fire immediately and accurately. Customers who buy are segmented, thanked, and nurtured according to their purchase history. Customer lifetime value metrics become calculable from real data.
Before Under Japan's Act on the Protection of Personal Information, transferring personal data to a third-party service or to a recipient outside Japan requires either the individual's consent or another specified legal basis, and the data handling must be disclosed in your privacy policy. If your website is collecting personal data through forms and passing it to a US-headquartered CRM without a documented transfer basis, you are carrying compliance risk. An integration audit identifies every data transfer point and assesses whether the handling is documented and defensible.
After You have a clear record of every personal data transfer your integrations perform: which fields are transferred, to which platforms, under what legal basis, and with what consent or notification given to the individual. Your privacy policy accurately describes your actual data flows. If you receive a complaint or a regulatory inquiry, you can respond with a complete and accurate account of your data handling.
How it works

Process

  1. 01

    Integration Audit

We review your complete technology stack, including your website, CRM, payment gateways, and any operational tools such as Kintone. We document what is connected, what is broken, what data is being lost, and what APPI compliance considerations apply to your current data flows. The audit takes one to two weeks and produces the foundation for all subsequent work.

  2. 02

    Specification and Field Mapping

We produce the integration specification and CRM field mapping document in the required languages, covering every data point, every connection, every trigger condition, and every automation rule. We review this with you before any build work begins. The specification becomes the reference document for your integration architecture.

  3. 03

    Build, Configure, and Test

We build each integration according to the approved specification. We test every connection end to end, including Japanese character input handling, payment event triggers, UTM pass-through, automation firing, and deduplication logic. Test results are documented and signed off before any connection goes live.

  4. 04

    Handover and Documentation

We hand over complete documentation in Japanese and English as required, conduct a walkthrough session with your team, and remain available during a post-launch support period to handle any issues that arise in the first weeks of operation.

Common questions

FAQ

Kintone is our primary operations platform. Can it be connected to our website and to external APIs?

Kintone has a well-documented REST API that supports real-time data writes from external systems, including website forms, payment platforms, and third-party data services. The Cybozu developer documentation covers the full API specification and we build connections to Kintone using it directly. For website form submissions, we configure server-side API calls that write new records to Kintone immediately on submission, with full field mapping to your Kintone app structure. If your Kintone app has custom fields, calculated fields, or cross-app lookup fields, we map those specifically in the integration specification.

How do you handle furigana and other Japanese-specific data fields in CRM mapping?

Japanese CRM configurations commonly include separate fields for kanji name and furigana name, kanji company name and kana company name, and Japanese address structure with prefecture, city, district, and building fields. We map each of these fields explicitly in the CRM field mapping document. Where your website form collects furigana and the CRM field expects katakana input, we specify the character set handling in the specification. Deduplication logic is also adjusted to account for the fact that the same person may submit in kanji on one occasion and in romaji on another.

What does APPI require specifically for data transferred to overseas CRM platforms?

Under Japan's Act on the Protection of Personal Information as revised in 2022, transferring personal information to a third party in a foreign country requires either the individual's consent with disclosure of the receiving country and its data protection framework, or confirmation that the overseas recipient maintains a personal information protection standard equivalent to Japan's requirements. Both Salesforce and HubSpot maintain APPI-compliant data processing terms and have data centre options that can influence where data is stored. We identify every overseas data transfer in your integration stack and document the legal basis for each one. We recommend you confirm the legal specifics with a qualified data protection adviser familiar with Japanese law.

We use GMO Payment Gateway. How do you connect payment events to our CRM?

GMO Payment Gateway supports webhook notifications for transaction events including payment completion, cancellation, and refund. We configure these webhooks to trigger CRM updates: creating or updating a contact record on payment completion, updating deal or opportunity status, and firing email platform events for post-purchase sequences. The connection is built server-side so that payment data is validated before it reaches the CRM. We test the full payment-to-CRM flow with sandbox transactions before the integration goes live.

How long does a Japanese market integration project typically take?

A project covering one CRM (Salesforce Japan, HubSpot Japan, or Kintone), one website platform, and one or two payment gateways typically takes five to seven weeks: one to two weeks for the audit and specification (including bilingual documentation), two to three weeks for build and testing (including Japanese character handling verification), and one week for handover and documentation. More complex stacks or those requiring custom API development take longer.

データは自動的に流れるべきです。手作業で移送するものではありません。

Every form submission that sits in an email inbox, every lead that enters your CRM without attribution, and every payment event that never reaches your customer record is a gap in your data that compounds over time. An integration audit shows you exactly where those gaps are. We find them, build the connections, and document everything so your stack runs without manual intervention.
